The first installment of the Administrative Management track is an online self-guided 5-part module on the topic of Effective Meetings.
Each part is intended to be completed sequentially in its entirety, but participants can elect to view any of the parts individually and standalone. However, all five (5) parts must be viewed in their entirety and knowledge checks completed to attain the Effective Meetings Module Certificate.
In any professional setting, meetings are a fundamental part of collaboration, communication, and decision-making. Yet, without the right skills and preparation, meetings can become inefficient, unfocused, or even counterproductive. This course equips participants with the essential skills and strategies to participate in meetings with purpose, professionalism, and impact—before, during, and after they occur.
This module is structured into four key content sections, each building a comprehensive understanding of effective meeting engagement:
Part 1: Introduction and Overview to the Module
Part 2: Before the Meeting: Preparation and Planning
This section, the first step in effective meeting participation, focuses on key actions to take before the meeting begins. Foundational practices are introduced to establish structure and clarity from the outset. These include developing a focused agenda, identifying and inviting the right participants, and determining the necessary logistics to ensure a smooth and purposeful meeting.
Part 3: During the Meeting: Execution and Engagement
This section outlines the essential actions to take during the meeting to ensure it stays productive and purposeful. Key practices include starting on time, reinforcing the meeting’s objective, reviewing ground rules, and staying focused on the agenda. Guidance is also provided on how to effectively facilitate discussion and conclude the meeting with clear outcomes and next steps.
Part 4: After the Meeting: Follow-Up and Accountability
This section covers the critical follow-up actions that ensure meeting outcomes are implemented and momentum is maintained. It includes conducting a debrief, capturing and distributing meeting notes or minutes, monitoring and communicating progress on action items, and determining whether a follow-up meeting is necessary to support continued progress.
Part 5: Attending the Meeting: Professional Participation Across Meeting Types
This section provides practical guidance on how to be an effective and professional meeting participant across a variety of meeting types. Topics include how to assess whether your attendance is necessary, how to demonstrate professionalism, engage actively, communicate clearly, and manage your time effectively. Specific strategies are provided for internal organizational meetings, external stakeholder meetings, public forums, as well as both virtual and in-person settings, recognizing the unique expectations and dynamics of each.
